5 Hacks To Prioritize And Complete Tasks On Time

Do you find yourself swamped under all your tasks and to-do lists, but don’t feel like you’re actually getting anything done? If you feel like you’re constantly running around but not actually being, productive, there’s a better way to complete your tasks on time. Learn these 5 hacks for prioritizing and completing your tasks, and breath easier through life!

1. Tackle The Biggest Task First

If you could only choose to do one single task today, what would it be?

Jay Papasan’s popular book, The ONE Thing, highlights how having too many “things” can actually actually make you less productive. If you have multiple goals, you actually have no goal because your focus is split.

“What’s the one thing I can do, such that by doing it, everything else will be easier or unneccessary?”

There is an old saying that “If the first thing you do each morning is to eat a live frog, you’ll have the satisfaction of knowing that it’s probably the worst thing you’ll do all day.”

There is not enough time in the day to complete everything on your to-do lists. By focusing on the most important tasks and tackling the biggest tasks first, you can make sure to get them done.

2. Goal Setting

While goal setting is usually associated with long-term or overarching goals, it can also help with completing day-to-day tasks. A recent study showed that individuals with written goals were 39.5% more likely to succeed.

Write a list of what tasks you have for the day, or even for the week, and then prioritize those tasks. Make sure you “eat the frog” and complete the big tasks first (see point number 1), and then set goals for the rest of your tasks.

An Easy Guide to Tracking Your Real Estate Goals

Create SMART goals and then determine the daily activities required to achieve those goals.

Identify the top activities you should do every day to help you reach your overarching goal. These activities should be much easier to accomplish than your larger goal, and something you can do each day. These are the simple daily plans and contingency plans that drive you towards your end goal.

3. Daily Activity Report

Many real estate teams use a daily activity report to keep track of their tasks, as well as help keep them accountable. Write down the things you need to do for the day and check them off as you complete them. Do this at the beginning of the day to give yourself an overview of what you have in store for the day.

4. Timeblock Your Calendar

This sounds simple enough, but not many people use this strategy. Block out time in your calendar for when you’re going to call new leads, when you’re going to follow up with older contacts, and when you’re going to do some prospecting. If it’s written down in your schedule, you are more likely to actually do it. Also, if it’s on a shared service like Google calendar, your team members can see your schedule and keep you accountable to your tasks.

“Productivity isn’t about being a workhorse, keeping busy, or burning midnight oil. It’s about priorities, planning, and fiercely protecting your time.”
